At Acton, we design, navigate and build accessory dwelling units (ADUs), also known as backyard homes. The role!

Production Coordinators at Acton ADU report to the Production Manager and provide hands-on administrative and project coordination for all projects currently in Production. You’ll be communicating and coordinating with Acton Lead Carpenters in the field, assisting them with project schedules and materials, and coordinating with subcontractor and vendors.


As our Production Coordinator you will be responsible for the following duties, actions, and tasks:

  1. Assist our Production Manager with handoffs, preparation, construction, client acceptance and the warranty periods for all Acton projects.

  1. Produce weekly performance reports for every project in progress and for the department, with forecasts provided by Lead Carpenters.

  1. Coordinate all project schedules to meet the needs of each project’s weekly goals.

  1. Be a team player, focused on overall team goals and get out in front of resource conflicts, so things go smoothly.

How to be successful as an Acton Production Coordinator:

  • Confirm schedules with subcontractors and trades.

  • Track and manage material orders and shipments.

  • Ensure the team goes to the correct current job sites.

  • Communicate with customers, as directed by the Production Manager.

  • Maintain a strong, positive working relationship with all Trade Contractors and Vendors.

  • Ensure all vendors and trade contractors provide proof of insurance and appropriate licenses and certifications, as required.

  • Coordinate project handoff meetings from Design to Production.  

    • Ensure clarity is achieved for project details and customer expectations.

    • Review and accept project hand off packets from our Design Team

    • Initiate the production process including setting up any customer files, records, producing job books, and checklists.

  • Maintain Production Department process documentation for performance, quality, safety, and customer satisfaction.

  • Manage and maintain the Warranty process at Acton Construction including:

    • Schedule and expedite all warranty requests.

    • Track and report on all warranty statuses.

    • Maintain focus on providing a quality client experience with warranty service.

  • Initiate and coordinate project closeouts including scheduling, organizing post-project meetings and sending and recording customer satisfaction surveys.

  • Process receipts for goods and materials including copying, auditing versus invoices, submitting to our Finance team, and filing.

  • Process subcontracts including checking for compliance with Acton requirements, updating insurance requirements, copying, and filing.

  • Schedule and coordinate routine Production team meetings

  • Schedule and coordinate social events on a schedule provided by the Production Manager--because we’re a team and we love hanging out when we can!

  2. Accurate, complete, and timely update and communication of project schedules.

  3. Accurate, complete, and timely production of all project documents.

  4. Timely and accurate communication of project schedules and information to Lead Carpenters, subcontractors, and vendors.

  5. Accurate, complete, and timely ordering and arrival of materials at job sites.

  6. Consistently exhibit Acton Construction’s corporate values in all internal and external interactions, communications and decisions.

  2. We want you to have the authority to manage day-to-day tasks and schedule resources to complete the above responsibilities and accountabilities to the defined standards of performance.

Skills, Training, and Experience:

Our Production Coordinators have the following minimum level of expertise, training, and experience:

  1. Excellent communication skills (written and verbal) with a demonstrated ability to communicate well with our team, trade contractors, business owners, and customers.

  2. Highly proficient in Microsoft Office and Google office productivity tools.

  3. At least 3 years of administrative experience, preferably in a construction-related industry, or at least 3 years working in the field in residential construction with an aptitude for administrative tasks.

  4. A passion for organization and a demonstrated ability to manage and organize complex project information.
